Paper and digital at the same time: hybrid authorizations with QR
How to keep paper when needed and digitize it with human review, without losing track of who has authorized.

Not every family can or wants to sign on a phone. Forcing a 100% digital model creates friction and exceptions outside the system: exactly what you were trying to avoid.
Digitizing well doesn't mean eliminating paper overnight. It means that paper and digital share the same tracking.
Why 100% digital isn't always realistic
- Limited access to mobile data or email.
- Preference or need for a handwritten signature.
- Last-minute situations on the day of the activity.
- Participants without a guardian set up digitally in the system.
A good process allows for exceptions without losing traceability.
Recommended hybrid flow
- Print the authorization (with identification / QR when the product supports it).
- Sign by hand at the point of handover.
- Scan (camera or scanner); the QR helps link the scan to the correct authorization.
- Review the digitized copy before confirming: OCR or capture is not infallible.
- Complete the status in tracking (e.g., paper received → confirmed).
Human review prevents errors; digitization prevents the lost folder.
The "paper received" status
A visible status on the dashboard avoids the "I have it in my backpack" situation with no trace. The day before the trip, you filter both pending digital signatures and papers not yet confirmed.
Integrity and evidence
Once confirmed, the digitized document must be part of the same record as the digital signatures: version, date, and, when available, a hash of the stored file. More details in What is a document hash.
