Is Google Forms good enough for school authorizations? What's missing

Google Forms is excellent for surveys and quick data collection. Many schools and parents' associations use it for "authorizations" because they already have it and everyone knows how to use it. The useful question isn't whether Forms "works," but what level of traceability and tracking you actually need.
What Forms does well
- Create a form in minutes.
- Share a link without families having to install anything.
- Export responses to a spreadsheet.
- Integrate with everyday Google Workspace use.
For a light "yes" or an internal survey, it's often enough.
What it doesn't cover when we talk about authorizations
The limit appears when you need:
- A drawn signature and an archivable PDF of the authorization.
- Activity statuses designed for a trip or outing: pending, open, completed, paper received…
- A link to participants and groups (class, team), not just rows in a spreadsheet.
- Hybrid paper: knowing who still needs to hand in the paper form and having it scanned without losing track.
- Versioning: if you change the text, you can't silently mix old responses with the new text.
Forms collects responses. An authorization tool manages the process all the way to the day of the activity.
When Forms is still enough
- You don't need a signature or a formal PDF.
- The risk is low and the parties already know each other.
- You don't need a "who's missing" dashboard by group before the trip.
- You're okay handling exceptions (paper, guardians, corrections) outside the system.
When you need a specialized tool
If the day before the activity you're still asking on WhatsApp who has responded or who has returned the paper form, you need a flow with participants, link publishing, and tracking.
